|NATURE OF WORK:|
|Under close supervision perform combined duties of the Recording Department in the Apache County Recorder’s Office.|
|(Illustrative Only) Assist in all recording operations: Maintain the data base for the Optical Imaging System and determine whether to accept/reject each document presented for recording (average of 40 per day). Understand the Arizona Revised Statutes and apply appropriate statutes in the recoding process. Return rejected documents with specific instructions on how to correct each non-compliance situation. Calculate fees properly, computer stamp recording, checks, affidavits and envelopes. Determine and enter correct document type code, grantor, grantee and legal description. Research and enter corresponding references and parcel numbers. Photocopy and scan each recording and verify all scanned and copied images. Scan affidavits of Property Value separately. Proof and make necessary corrections by comparing the index printout with the documents presented for recording. Print and affix labels and return recorded documents to the owner through the mail. Prepare daily deposit of all funds received by the Office of the Recorder. Conduct research and prepare materials to complete and certify UCC3 searches for mail backs. Maintain current microfiche files and update bank repository. Verify incoming fiche and microfilmed rolls.|
|Act as a Receptionist:|
|Answer incoming phone calls and assist the public with all types of recording matters. Assist the public in the usage of research materials including but not limited to: computer indexing system, vault records and microfiche. When necessary, assist the public in research, and follow up research with the Assessor’s Office. Make and certify copies, collect fees, make change and issue receipts. Assist in updating and maintaining the recording filing system. Answer daily message sheets, research and prepare requested materials for mail-outs. Draft correspondence and maintain public workstation counter with materials and ensure that all equipment is operational.|
|Projects: Assist with overall organizing, cataloging, indexing, computerizing, preserving and storing of all records in the Recorder’s Office
Office Equipment: Proficient in the use of, but not limited to, the following systems: Lucent phone systems, computers, printers, scanners, photocopiers, slip printers, cash registers, microfiche reader/printers, 10-key calculator, typewriter and Assessor’s State Terminal.
Miscellaneous: Other duties as assigned in reference to recordings.
|High School Diploma or G.E.D. and five (5) years of progressively responsible administrative experience; OR, any combination of academic education, professional training or work experience which demonstrates the ability to perform the duties.
